Episode #144 – How to Get it ALL Done!

Okay listen I was trying to make the headline fun because today I’m gonna put on my nerdy business hat and tell you why systems are soooooo very crucial to your business success.

I was thinking earlier that okay today I take my mindset coach hat off any put my business coach hat on, however when it really comes down to it. Believing in and improving on and sticking to systems is really a mindset. It’s a way to approach your business that is going to massively increase your productivity and results. So I guess it’s both, it’s business and it’s mindset all in one.

Systems are sexy, you know why they are sexy, because once you embrace them they are going to be game changers for you! You’ll want to systemize everything you can.

I”m one of those weirdo people who have a system from everything, now don’t get me wrong, these are flexible they can change I’m not obsessed to where if I don’t use the system I get upset. But I know that there are many things that I do in a systematic way that make it easy for me to get those things done really quick and not only quick in a way that hopefully covers all the steps.

The reason I do this probably is because well I know it works, but also I come from a background my studies after school took me into IT, Information Technology. I became a programmer writing code for a mining company and then I quickly moved into the analysis side. Doing Business Analysis. So for a while my training and career was to go into businesses or go into areas of the businesses I worked for and look at every single existing process they have, look at their current computer systems and see if those supported the processes and talked to employees at every level and discovered the inefficiencies both in the people processes and the processes they were having to do to match the computer systems that they were using. And based on that I would come up with recommendations. So this is really detailed stuff, interviewing people, drawing flow diagrams that includes every single detail of the process whether it involves a manual paper system or IT system etc.

So it’s really second nature to me to look for systems in my own business and improve them. 

And not only do big business hire analysts to do this process, those systems once improved in businesses can improve results financially but also happiness of the staff and in turn their satisfaction.

When you feel like you have control over your work you feel better about it and more confident that you know how to do you know what needs to be done and that it’s going to get done because you have a system

If you look at a regular day for you, there are systems that you use all the time you just don’t think about it. Maybe   because you created these along time ago or maybe your parents created them and showed them to you and you just have always done it like that.

For example. When I make coffee in the morning, I almost always use the same method to do that. Therefore it tastes the same and I like that I know what it’s going to taste like, and I know how much cream to buy to get me through to next week. I know how long it takes to make the coffee so I can still make it and get my daughter to school on time. I know if I want to take it with me I put it in thermos instead of a mug. I don’t have to think about it because I’ve done it every morning for a long time. However, let’s say I get a fancy new coffee machine tomorrow, I have to learn that system all over again, because something in it has changed that’s fairly huge to the system. But hey once I do learn to use that new machine maybe my coffee is going to be even better tasting or maybe I”ll figure out that I don’t like it and I’ll go back to my trusty old coffee pot.

Brushing teeth is one that people almost always do in the exact same way every single day. On the occasional day you might think well maybe today I’ll brush a little more here or there but if you were to tape yourself daily brushing you likely do it the same most days. 

Systems are something that are kin to habits, let’s not confuse them with obsessions though. That’s completely different. Obsessive compulsive behaviour is where you do things the same way and have to no option and if you don’t you feel dread, or like something bad is going to happen or super high anxiety because you didn’t do it the same and some of the time those habits aren’t logical. Like turning a light switch on and off multiple times. Etc…so that’s entirely different behaviour to just being effective and efficient because it’s no longer effective when there is no flexibility in it and it causes negative feelings and outcomes.

So today I’m really just trying to bring the fact that systems can be super helpful in your day and in getting things done. I 100% see that my high performing clients who tend to be very busy use systems and that is how they get so much done in their day. 

When it comes to administrative work it’s really important to start systemizing the things that you are doing over and over again. In some cases the system itself might just help you get it done! One that I can think of is bookkeeping. Maybe your system is a shoe box that you throw your papers in, if you get organized and systemize that it will go much quicker and you’ll have the information at your fingertips as well.

What’s great about creating systems is that once you’ve got it down and when you’re business starts to grow and you’re thinking hmmm….can I possibly hire someone to help out with my business? It’s so easy to find the job for that person because you already have a system you can pass onto them. It’s very difficult to hire a person to do your books and then they say okay send me all your stuff and you’re like wait I don’t know where my stuff is, so now you’ve hired this person and 2 weeks later they are still waiting for the stuff.

So systems make it possible to hire people on to take over those systems.

Today I want you to think of one thing in your business that needs help, maybe you don’t get it done ever or when you do it’s such a long drawn out process and see if you can create a system to get it done each time you need to do it whether it be daily, weekly, monthly.
